Administrative and Communications Assistant

About the Role

Hours: Part-time (20 hours per week)

Location: Remote in the United States

Salary: $24–$27 per hour, commensurate with experience

Benefits: Three weeks paid time off annually, twice-yearly benefit of $2,500 to a Health Savings Account (HSA) or retirement savings

Start date: October 1, 2026

 

This independent contractor position provides day-to-day administrative and communications support across the Foundation's programming and operations. The role helps coordinate the weekly production of the Cultivating Place podcast and upcoming film series, supports communications with podcast and film guests and public radio partners, assists with newsletters and online events, and provides administrative support to the Foundation's leadership and Board of Directors.

 

The position requires someone who is comfortable balancing recurring weekly responsibilities with seasonal and annual projects while helping the team stay organized and moving forward together.

What You’ll Do

Administrative Assistant

  • Schedule and coordinate communications and follow-up between the Cultivating Place podcast hosts and weekly guests.

  • Help maintain awareness of the Foundation's annual and seasonal schedule and rhythms to support timely planning and communications.

  • Support internal communications between the Executive Director, Board, and other staff.

Communications

  • Create, schedule, and post website and social media updates related to: the weekly podcast, the film, Cultivating Place events, and other organizational updates, with direction from ED, CD & DD.

  • Monitor communications timing to support audience engagement and seasonal relevance.

  • Correspond weekly with the Foundation's presenting public radio station and member stations syndicating the program, including notifying them about weekly public relations materials and the availability of weekly audio files.

  • Spend weekly time rendering the final transcription of each podcast episode using Descript software.

General Team Support

Monthly

  • Gather information for, draft, and format the Foundation's newsletter.

  • Create online events and registration forms.

  • Email invitations for online Communings (CPF monthly online audience gathering).

  • Assist with correspondence and administrative support for the Board of Directors and its subcommittees.

Annually

  • Assist in drafting, creating, preparing forms, paperwork, and public relations materials for the Foundation's major annual fundraising event, such as 2027 online art auction or 2026 The Power of Gardeners Symposium.

  • Annual summaries to Foundation donors.

  • End-of-Year Report and thank-you to audience (to date in the form of a Winter Solstice Card).
